Description
The Legislative and Legal Services (LLS) department is seeking a Legal Assistant to join its Legal Services branch. 

This position is responsible for supporting the manager and lawyers with both legal and administrative tasks, including legal review, bylaw, policy, and privacy-related processes as well as offering general administrative support to the LLS department as required.

Responsibilities:

  • Create, organize, maintain and close electronic files
  • Maintain the Manager, Legal Services schedule and support daily tasks, including coordinating meetings, preparing meeting materials and logistics, preparing correspondence, and monitoring the timing of upcoming deadlines
  • Provide support through managing limitations, diarizations, and other important deadlines and advising lawyers of file actions that are required to be completed
  • Review, triage, and confirm assignment of legal services requests to lawyers
  • Liaise with County staff submitting legal services requests, including confirming the scope of the request, requesting required documents, and determining desired timeframes for review and action by lawyers
  • Perform corporate registry and land titles searches
  • Utilize a solid understanding of legal documents to perform proofreading, revising, editing, and formatting of legal documents and some related document drafting
  • Draft legal correspondence and memorandums for lawyers' review and sign off
  • Conduct case law and resource searches from legal research tools (such as, CanLit and Westlaw)
  • Manage and maintain legal practice management software and prepare related reports
  • Support bylaw, policy, and privacy related administrative processes
  • Provide general administrative support including: content management for County internal website pages; document management for documents such as contracts, bylaw, and other templates, legal opinions, and precedents; and office related administrative duties (including coverage for administrative staff absences, which may include reception)
Requirements

Qualifications and Skills:

  • High school diploma plus five (5) years of related experience 
  • Post-secondary diploma or equivalent certification is considered an asset
  • Experience in a municipal government or legal office setting is considered an asset
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and electronic document management and experience with OneDrive and SharePoint (document sets/filters rather than folder structure) is considered an asset
  • Experience with legal practice management software (one or more of CLIO, PCLaw, ProLaw, PracticePather, CosmoLex, or similar software) is considered an asset
  • Detail orientated with excellent organizational and time management skills and sound decision making skills
  • Effective multi-tasking skills enabling prioritizing of work and completing detailed work within tight timelines with a high degree of accuracy
  • Excellent interpersonal, customer service and communication skills (both written and oral)
  • Ability to deal with confidential matters in a discreet and professional manner
  • Ability to work independently as well as in a team environment
Salary & Benefits

Salary Range: $52,889.20 - $66,120.60
