This posting is for 1 temporary full-time position up to 18 months

Make a different at the 2026 Alberta Summer Games! We are seeking a Participant Experience Coordinator responsible for successfully coordinating the transportation, food, and accommodation needs of athletes, officials, coaches, spectators, and special guests. This position will coordinate teams that include staff, contractors, entertainers, vendors and volunteers for the successful execution of activities. In collaboration with the Strathcona County 2026 Alberta Summer Games Society, the 2026 Alberta Summer Games Manager, and other community partners, the successful person will ensure the participant experiences align with the requirements as defined in the provincial Games Operations Manuals and Strathcona County’s policies and procedures.

Responsibilities:

  • Arrange and oversee all transportation requirements to ensure an efficient, timely and successful transport network using internal and external resources (ie: transit, shuttle, access routes, parking zones, etc)
  • Develop and manage RFPs to obtain vendors to provide all participant meals, snacks and refreshments that adhere to the menu guidelines
  • Arrange all food service requirements including facility plans, diagrams, menus, delivery, hours of operation, timelines, décor, setup, and dismantling
  • Arrange accommodation plans for 2000 individuals over the course of the Games
  • Coordinate the Athlete’s Villages and support the delivery of recreational opportunities, medical requirements, security, custodial needs, room assignments, lost and found, and registration at the Villages
  • Maintain administrative duties by writing and presenting portfolio reports
  • Facilitating and managing contracts through their lifecycle working closely with procurement services
  • Oversee and administer the budget to ensure timely and effective use of budget dollars to meet event needs
  • Maintain accurate record keeping and organization of files using the 2026 Alberta Summer Games Sharepoint site 
Requirements

Qualifications and Skills:

  • Degree in Recreation Administration, Physical Education, Business or a related discipline with a minimum of 1 year experience, or a related diploma with 3 years of experience in a leadership capacity within operations, event planning, facilities, community development, policy development or public engagement 
  • Experience in project management and working with contractors and volunteers
  • An understanding of municipal and provincial protocol, reports, and processes is an asset
  • Incident Command System training is considered an asset
  • Supervision of staff, volunteers, and participation in community groups is an asset
  • Effective time management and the ability to change and adapt as needs emerge under tight timelines
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)

Conditions of Employment:

  • Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits  
Salary & Benefits

Salary Range: $74,893.00 - $93,602.60
