About the Role:

Reporting to the Community and Events Supervisor, the Community Permitting Coordinator is responsible for overseeing the facility booking operations including direct supervisory oversight of the Facilities and Special Event Administrators to ensure quality service delivery, accuracy and operational effectiveness. This position also servers as the official designate of the Community and Events Supervisor. 

What You Will be Doing:

  • Supervise the daily operations of the facility bookings including the planning, coordination, execution and administration of three (3) Facilities and Special Event Administrators (FSEA).
  • Prioritize, assign, and delegate permitting workload of the FSEA team.
  • Recruit and train administrative staff, co-op/placement students and any other temporary staff.
  • Audit bookings, as a quality control measure, to ensure contract requirements are met.
  • Lead staff through the planning, creation and maintenance of user group rental contracts in accordance with City policies and procedures.
  • Responsible for organizing and leading the technical and functional oversight for the Community, Recreation and Culture Services (CRCS) department within the ActiveNet software.
  • Lead all troubleshooting inquiries within the software.
  • Initiate, plan and organize implementing new software features.
  • Provide ongoing department wide software administration, maintenance and staff training.
  • Plan and organize the seasonal permitting allocation of recreation facilities including arenas, sport fields, pools, community centres, parks, and events.
  • Lead user groups and FSEAs through the application of the Recreation Facilities Allocation Policy.
  • Organize requests, assign scheduling of facilities, escalate conflicts and direct booking permits in the ActiveNet recreation software.
  • Act as the liaison between Canada Games Park (CGP), City of Thorold and St. Catharines to ensure equitable access of allocated resources at CGP.
  • Lead, plan and promote the City’s Ice Resale program to ensure revenue targets are achieved.
  • Conduct regular audits of recreation facility user groups as per the Recreation Facilities Allocation policy.
  • Responsible for controlling the financial administration and oversight associated with allocation, and facility rentals including deposits, monthly billing, accounts receivable and processing rental payments.
  • Responsible for organizing financial pickups via third party.
  • Dedicated CRCS liaison with Financial Management Services (FMS) for all allocation financial reporting and invoicing.
  • Perform all other job-related tasks or special projects as directed.

Requirements

About You:

Qualifications:

  • College diploma in Business Administration, Recreation and Leisure Studies, Sport Administration or related field.
  • Two (2) years’ experience in customer service position, preferably within a recreation facility.

Skills:

  • Well-developed leadership, motivation, training, and coaching for excellence skills.
  • Demonstrated proficiency, management, and operation of recreation software like ActiveNet. Prior experience with ActiveNET is preferred.
  • Knowledge and proficiency in accounts receivables and financial processes.
  • Intermediate level knowledge of Word, Excel and Outlook.

Other Requirements:

  • Proven completion of Ministry of Labour Worker Health and Safety Awareness training.
  • A demonstrated commitment to enhancing a safety culture.
  • Proof of education will be required upon hire.
  • Ability to travel between City work locations is / may be required.
