The City of Coquitlam has an exciting opportunity for a Human Resources Assistant to join our team following the retirement of a long-standing team member. If you have a passion for people engagement, a keen eye for detail and thrive in a fast paced environment, we want to hear from you. 

Reporting to the Employment and HR Advisory Services Manager, you will primarily assist with recruitment administration, but may also assist with tasks relating to other areas of human resources. Key responsibilities include maintaining and updating employee and job data records in the Human Resources Information System; scheduling candidates for testing and interviews; general administrative duties such as ensuring employee files are complete; and providing information and assistance to internal/external contacts on matters relating to benefits, personnel records, compensation, and recruitment. This role may also participate in a variety of HR projects and initiatives. We are a busy, high volume department, and this is a great opportunity to join our team and learn from HR professionals!

Teamwork is at the heart of our day to day work.  In addition to working with the Employment and HR Advisory Services team, our division is collaborative and occasionally assists members of the broader team including Health and Safety, Organizational Training and Development, and Labour Relations. As the face of human resources to new applicants and employees, we are seeking someone with strong interpersonal skills, excellent verbal and written communication skills, and a can-do attitude. The ability to maintain confidential information is critical.  We are always striving for continuous improvements, and welcome your ideas for process efficiencies.

Our ideal candidate will have experience using Peoplesoft or another HRIS, as well as familiarity with using an applicant tracking system. The successful incumbent will hold an undergraduate degree in Business Administration, Commerce or Human Resource Management and have a minimum of 3 years of administrative experience, ideally focusing in HR.  An equivalent combination of education and experience will be considered. Prior experience in a municipal or unionized environment, and/or work towards a CPHR designation will be considered an asset. 

Additional requirements for success in this role include:

  • Advanced computer/word processing skills in MS Office (Word, Outlook and Excel)
  • Excellent written and verbal communication skills with a keen eye for detail
  • Outstanding customer service skills and strong political acumen
  • Basic understanding of unionized and excluded recruitment practices
  • High degree of attention to detail and accuracy in carrying out administrative related tasks
  • Demonstrated initiative to think ahead to next steps in the recruitment process
  • The ability to thrive in a fast-paced, progressive work environment while meeting deadlines
  • A high degree of confidentiality and professionalism in upholding the values of our organization and human resources practices
  • Knowledge of applicant tracking systems and human resources information systems.
  • Extensive knowledge of progressive applicant tracking systems and human resources information systems. Experience with Peoplesoft and/or Cegid is preferred
  • Administrative experience within a public sector human resources team is an asset
