The Opportunity:
The City of Airdrie is seeking an Executive Assistant to support the day-to-day needs of the Director of Community Infrastructure.

The position requires a high level of confidentiality, sound judgement, diplomacy, attention to detail, and the ability to thrive in a fast-paced environment. Advanced administrative skills including the ability to write reports, speaking and briefing notes, and develop presentation materials are required. Also required is a demonstrated ability to work effectively and calmly under tight deadlines. And through it all, the ability to provide exemplary customer service to a wide variety of internal and external stakeholders is essential.

This position includes the occasional presence at meetings and special events during the evening and weekends.

Responsibilities include:
• Maintain the Director of Community Infrastructure’s calendars including prioritization, coordination and scheduling internal and external meetings; Assist in resolving time management/scheduling conflicts as required
• Support the planning, scheduling, preparation, execution and follow-up for team, board and committee agendas and meetings
• Build strong and strategic relationships to work collaboratively across departments, business units, and with members of Council, customers and the public while maintaining a positive corporate image
• Coordinate appointments, meetings, special events, catering and travel arrangements
• Reconcile expenses to maintain records of budget expenditures
• Complete special projects, as assigned

Requirements

You Bring:
• Completion of a Diploma in Business Administration, Office Administration or related field.
• APC Certification and or Canadian Certified Administration Professional (CCAP)
• Minimum of 5 years’ experience in an administrative role.
• Knowledge and understanding of Council/Committee protocol and municipal functions would be an asset
• Experience supporting multiple senior administration
• Expertise in writing, editing and quality checking to ensure accuracy and consistency within and across all documents
• High level of organizational and administrative skills with the ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines
• Advanced computer skills and thorough knowledge of Microsoft Office including MS Word, Excel and Outlook as well as office applications and office equipment. Experience in SharePoint and MS Project would be an asset
• Comfortable learning and assisting in troubleshooting and the rollout of new systems
• Exceptional written and verbal communication skills with the ability independently compose reports, policies and procedures
• Ability to recognize matters of a confidential nature and handle in a discreet, professional manner
• Demonstrate initiative, sound judgement, critical thinking, the ability to work independently, and to respond to high priority and politically sensitive situations
• Proven ability to work within multiple teams across the organization while supporting multiple senior administration
• Excellent analytical, investigative and problem-solving skills with a high attention to detail
• Proven research skills and the ability absorb complex topics
• Background in one or multiple areas of administrative services including, finance, accounting, procurement, legal, infrastructure, and operations would be an asset

Additional Information:
This full-time position works 37.5 hours per week and requires occasional attendance at meetings and special events during evenings and weekends.
