About the Role
Vacancy Status: This posting is for a newly created position.
The Legislative Services Department requires a Summer Student to assist the Clerk’s Division from May 11 to August 21, 2026. Reporting to the Deputy Clerk and Records and Elections Coordinator, the Summer Student will be responsible for the duties listed below, among other things.
Key Responsibilities
The Municipality is moving from paper-based and legacy electronic systems to Microsoft SharePoint. The following responsibilities and duties of this position include but are not limited to:
- Assisting the Clerk’s and IT Divisions in transitioning various municipal departments into Microsoft SharePoint, including reviewing departmental records, working with the municipality’s Records Retention Schedule, including suggesting updates to the schedule, and migrating records from legacy systems.
- Providing support in developing electronic file plans and establishing metadata requirements.
- Assisting in the creation of information management training procedures for staff.
- Providing support to physical records management processes, including records requests, processing records, and digitization projects.
- Other duties as assigned, including special projects, and providing general clerical support to the division.
What you bring
- Candidates are being hired through the Canada Summer Jobs (CSJ) Program. In accordance with the CSJ Program, interested applicants must meet the following criteria:
- Be between the ages of 15 and 30 at the beginning of employment.
- Must be able to legally work in Canada.
- Enrollment in, or recent completion of, a post-secondary educational program related to Library and Information Science, Archives and Records Management, Information Technology, or Executive Administration is preferred.
- Have experience researching and analyzing information, determining the most effective means to organize your time, document your results, and meet required goals.
- Have demonstrated a good understanding of the related concepts, theory and best practices in data and records management principles.
- Highly detail-oriented, organized, with a high degree of accuracy, have an ability to work well under pressure, prioritize tasks, and adhere to deadlines with effective time management skills.
- Enthusiastic, motivated, self-starter with a willingness to learn, who can work independently or as part of a team.
- Excellent problem-solving, judgement capabilities, customer service, organizational, written, and verbal communication skills.
- Demonstrated proficiency in Microsoft Office applications, advanced photocopy functions and internet use.
- Ability to occasionally lift up to 10kg.
- Candidates must be available from May 4 to August 28, 2026.
What we offer
- Salary: $20.75 per hour (2026 rate).
- Hours of work: 35 hours per week
Additional Information
A satisfactory criminal record check and proof of qualifications will be required for the successful candidate.
Pre-employment testing may consist of written and oral assessments. To be considered successful, candidates must achieve a minimum score of 60% on each test. The highest score attained across the assessments will be used in the final award decision.
