Responsibilities include, but are not limited to:
- Provide direct supervision of full-time clerical staff and clerical relief staff, including scheduling, training, cross-training, performance support, and ensuring daily office and customer service requirements are met.
- Support conflict resolution involving staff and customer issues as they arise.
- Provide comprehensive administrative support, including researching, compiling, reviewing, and proofreading reports, correspondence, contracts, agreements, RFPs, and other departmental documents.
- Coordinate departmental mail-outs and oversee the Fort Report program and related processes.
- Administer insurance-related updates and claims support, including liaising with the Risk Management Officer, City Insurance Coordinator, and Legal Services to ensure compliance with records management standards.
- Assist Directors and Managers with onboarding of staff in relation to keys, parking, locker assignment and related administrative tasks.
- Support internal and external financial audit controls, including year-end reporting.
- Respond to facility-related concerns at the James E. Graham Building, coordinating with Fleet & Facilities and supporting site emergency management and evacuation exercises.
- Administer cemetery sales and inventory by overseeing customer service, records management, plot and niche sales, annual cemetery map updates and support the annual review of fees and charges.
The successful candidate will possess a post-secondary Certificate/Diploma in Business, Office, Secretarial Administration, or related field as well as a Supervisory Development Certificate. A minimum of five (5) years’ experience in an administrative and customer service role, with Supervisory experience is required. Experience utilizing computerized applications and techniques, including Outlook, FMW, Diamond, City View, HRISMYWAY and Worktech are considered assets while proficiency in Microsoft 365 Office Suite is required. The incumbent will demonstrate sound judgment and strong problem-solving skills, making fair and effective decisions in complex or challenging situations. They will apply strong interpersonal and supervisory skills to plan, coordinate, and manage people and resources efficiently while working collaboratively across departments.
Hours of Work: 37.5 hours weekly, Monday – Friday

The City of Fort Saskatchewan offers a competitive compensation package with a salary range of $79,092.00 to $93,054.00 per annum.
