The Facility Bookings Support helps provide the highest standards of guest service and react to emergent situations that affect the Facility Bookings and Event’s Team. They ensure all booking policies, procedures, and processes are met, explained, and implemented for all facility rental users and school groups.
In addition, the Facility Bookings Support provides facility staff with accurate information and solutions to deliver a quality rental or event experience. Develop daily building schedules based on community needs and facility priorities and ensure the information is accurate and up to date in print forms, on Intelligenz Recreation Software and by using the Microsoft Office products.
Key Responsibilities:
- Maintain a high level of accuracy with contracts, licenses and schedules to ensure high expectations of service delivery in operations at Millennium Place are met
- Consistent application of policies, procedures and service delivery
- Educate the user on the processes and procedures of bookings
- Engage and build a relationship with the contacts to fully understand their needs and determine how best to accommodate
- Create, edit, audit and print the Millennium Place building schedule, Birthday Party, Holiday Party, and lap tank schedules including providing copies and updates to supervisors and employees.
- Administer bookings by schools in compliance with the reciprocal use agreements. Track daily requests for school and group visits, inform internal and external stakeholders on capacity of service concerns
- Assist guests and user groups with their request, make an informed recommendation, complete the casual and block booking processes including payment and refunds
- Develop and maintain positive working relationships and communication with other facilities and Strathcona County work teams
Qualifications and Skills:
- High school diploma with a minimum of 2 years previous experience in a fast-paced guest service-oriented position
- In depth knowledge and experience using Intelligenz (or comparable) accounting and cash handling experience
- Knowledge of Microsoft Office Suite
- Customer Service experience through in-person, phone, and email interactions would be considered an asset
- Familiarity of services and products offered at Millennium Place and within Strathcona County would be considered an asset
- Exceptional organizational, teamwork and interpersonal skills; strong administration skills to support ability to prioritize multiple tasks and address multiple requests
- Ability to enter large amounts of data and ensure a high level of accuracy
- Ability to establish work priorities, schedules and objectives, and to work under pressure with time constraints. Ability to adapt to changing needs and demands
- Strong and organized written and verbal communication skills, including excellent customer service and in ternal communication with colleagues and supervisory teams
