Position Summary
Reporting to the Manager, Transportation and Traffic, the Development Process Coordinator, Transportation and Traffic is responsible for providing administrative support to ensure all business administrative tasks are carried out in an effective manner. These tasks include but are not limited to supporting the development application as well as the traffic inquiry processes through maintenance of databases, tracking of key performance indicators, circulating submissions, emails and other relevant documents for review and drafting related correspondence.
Key Duties and Responsibilities
- Coordinate the transportation development application process for the Transportation and Traffic team through receiving, circulating development application material for review; formalizing technical comments; monitor application status and follow up on outstanding information; maintain internal application tracking system including key performance indicators; circulate approved plans as appropriate
- Coordinate the transportation and traffic inquiry process through receiving, circulating and responding to transportation and traffic related inquiries received through phone, email or in person; monitoring of traffic inquiry email portal; monitor application status and follow up on outstanding responses; maintain internal tracking system including key performance indicators; generate weekly summaries of traffic inquiries; prepare notices to residents on traffic related initiatives
- Coordinates and arranges onsite and offsite internal and external meetings and events including logistics
- Coordinates regular team meetings and develops minutes and action items
- Prepare agendas, reports, correspondence and presentation materials as required
- Uses independent judgement to review, screen and coordinate and/or distribute communications and correspondence (e.g. telephone calls, incoming mail/documents, email)
- Ensure transportation and traffic related inquiries are resolved in a timely and efficient manner and escalate critical items as appropriate
- Drafts, formats, transcribes, collates and organizes briefing notes, packages, documents and reports in response to questions and emerging issues
- Ensure all documentation meets AODA requirements
- Ensures compliance with directive, policies and procedures as established for the team
- Assist with staff changes including onboarding, offboarding and any associated setup
- Work collaboratively with and provide back up support for other Development Process Coordinators and Administrative Assistants
- Other duties as assigned
Education and Experience
- Diploma in Business Administration or a related discipline
- AMCTO Certification is an asset
- 2 years administrative or related experience. Municipal experience is an asset
Required Skills/Knowledge
- Effective time management and multi-tasking skills with the ability to establish priorities to meet tight and changing deadlines
- Highly developed customer service skills with the ability to deal with staff, elected officials and the public
- Proficient in Microsoft Office Suite of applications
- Knowledge of RHub, Energov, Palis, OnPoint, Atrium, ABC Docs, OCE Web
- Ability to retain confidentiality and security of sensitive information and use discretion at all times
- Strong attention to detail and accuracy
- Ability to independently resolve problems and issues under minimal supervision
- Sound knowledge of the team as well as the City’s organizational structure and functions as well as detailed knowledge of the department, organization, policies and procedures
