The District is looking for an Administrative Assistant to provide confidential administrative assistance to the General Manager, Engineering Infrastructure Services and General Manager, Engineering Public Works. In this role you would be responsible for supporting the General Managers with routine administrative duties and assisting them in the smooth operation of the divisions, acting as the central point of contact for the divisions. 

You will perform a variety of administrative support duties including coordinating information and inputs from teams that report to the General Managers; preparation of departmental reports and compilation of agenda items for Council meetings; reviewing, prioritizing and redirecting incoming mail and email; managing calendars; pre¬paring agendas, supporting material, and minutes of management meetings; conducting general research for the General Managers; supporting workplace culture initiatives; and, confidential labour relations and personnel documents.  

In addition, you will provide information and assistance to and liaise with a variety of internal and external contacts on matters related to divisional activities, regulations and practices; explain applicable policies, regulations, standards and requirements as required; handle the more com¬plex and contentious complaints and enquiries; and represent the division on various committees to ensure its interests are satisfactorily addressed within the corporate structure.

Requirements

The successful candidate should have:

• Thorough knowledge of business English, spelling, punctuation and arithmetic.

• Thorough knowledge of municipal regulations, bylaws, policies, procedures and functions and/or the engineering and construction industry would be considered an asset.

• Considerable knowledge of current office practices and procedures.

• Considerable knowledge of applicable software applications. Ability to use spreadsheet, database, word processing software to access and/or create spreadsheets, and assist in preparing reports, presentations and maintain statistics and related data.

• Ability to search and compile data and other information and to compose non-routine correspondence, minutes, and memoranda independently. 

• Ability to understand and follow complex oral and written instructions, and ability to communicate information effectively, both orally and in writing.

• Ability to multitask and apply organization skills to meet deadlines and adapt to changing situations.

• Ability to establish and maintain effective working relationships with a diverse group of people – both internal and external to the organization, including the general public. 

• Ability to maintain a high degree of confidentiality, diplomacy, and sensitivity.

• Ability to plan, establish, maintain and improve administrative procedures.

• Ability to act with independence of judgement with minimal supervision.

Qualifications

Completion of a minimum of one-year post-secondary education in applied business, business or related area, plus a minimum of 5 years senior administrative experience in an engineering, municipal or related environment, or an equivalent combination of training and experience.

Salary & Benefits

Salary: The pay range for this exempt support position is $75,295.46 to $83,677.86 per annum (2024 rates) 
Hours of Work: 35-hour work week (Compressed work schedule available)
