About the Role:

We are looking for an energetic and organized individual to assist City staff in the planning and execution of City hosted events, farmer’s market engagement and 3rd party event oversight. This position will assist with the development of information and task timelines to support effective and safe operations for all City events. This position will also be responsible for community engagement at the Farmer’s Market. The Event Assistant will show initiative and assist in the preparation of all event related internal and external communications.

What You Will be Doing:

  •  Assist with the planning and execution of City events.
  • Attend, deliver and engage in community programming at the Farmer’s Market
  • Liaise with Corporate Communications for the development of event promotion.
  • Respond to the needs of attendees, community members and staff as required on event/market days.
  • Research and schedule event vendors and performers.
  • Coordinate and review vendor and performer contracts.
  • Assist with the development, implementation, and maintenance of a community volunteer program, as well as direct oversight of their activities on event days.
  • Act as a key contact for event volunteers.
  • Set up and tear down, monitor event/market timelines and ensure all event related activities run smoothly.
  • Additional tasks as required.

Requirements

About You:

Qualifications:

  • Grade 12 Diploma
  • A minimum of one year related professional experience in special events, preferred.
  • Relevant experience working with community members and volunteers.
  • Proficiency in MS Office Suite software.

Skills:

  • Strong abilities to multitask, prioritize, with a keen eye for detail.
  • Strong organizational and communication skills.
  • The ability to work in a collaborative team environment.
  • Ability to function independently with minimal supervision.
  • Respond effectively to customer/public concerns and service issues as they arise.

Other Requirements:

  • Ability to work extended shift hours as needed to accommodate event schedules which will include evenings, weekends and holidays as required.
  • Physical ability to lift and carry a minimum of 40lbs as required for event set up, and tear down.
  • Must be able to work outdoors in a variety of weather conditions, including both summer and winter conditions.
  • Proven completion of Ministry of Labour Worker Health and Safety Awareness training.
  • A demonstrated commitment to enhancing a safety culture.
  • Proof of education will be required upon hire.
  • A valid Ontario driver’s licence, Class “G”, with a clean driving record.
