Position Summary
The Compliance & Digitization Clerk performs administrative duties for the Plans Examination section, and provides reception/administrative support for the division as needed.
Key Duties and Responsibilities
- Review confidential legal letters, and verify legal description (i.e. lot number, plan number, address) in database
- Record property details and fees collected, and prepare legal compliance letters to be forwarded to designated Zoning Examiner for property search and sign off
- Assist with the organization and digitization of drawings, documents and records including, but not limited to, historical, issued and signed off permit documentations
- Assist with digital filing of documents and records related to electronic building permit program
- Maintain physical and digital filing system
- Distribute applications to building staff for review and comment
- Contact and respond to staff and legal enquiries by phone and email
- Monitor and order supplies as necessary
- Provide support to division reception counter
- Respond to general enquiries by phone, email and in-person, and redirect as necessary
- Produce daily schedule for Building Division for meetings, counter duties, phone duties, inspections, etc.
- Maintain vacation and absence schedule
Required Skills/Knowledge
- Proficient in Microsoft Office Suite
- Knowledge of Energov, Development Tracker or Atrium is an asset
- Knowledge of archival practices and scanning software/procedures is an asset
- Customer service skills and experience
