As part of that commitment, we are currently looking for a Clerk 4 – Facility Rentals to join our dynamic team. This position reports to the Manager, Support Services and Accessibility and works closely with the Cultural Production Coordinator, and responsible for carrying out a variety of organizational and administrative duties related to Facility Bookings of major community spaces at the Surrey City Hall such as the Council Chambers, Atrium, Committee and Community Rooms, with an opportunity to supervise front counter staff and perform other clerical tasks as required.
Employees work under limited supervision and exercise considerable independent judgement and initiative.

Responsibilities
- Provides clerical and administrative support services to Parks, Recreation & Culture Staff.
- Plans, coordinates, trains, and supervises clerical staff in a variety of functions.
- Receives, process and completes facility booking requests that come from internal and external stakeholders.
- Processes payments using the in-house registration system.
- Creates and maintains office procedure manuals and guidelines.
- Prepares varied documents, collects, and analyzes a variety of data, and complex statistical reports.
- Composes a variety of letters of a technical nature.
- Assists other administrative staff in performing their duties.
- Coordinates the Purchase Card (P-Card) program including processing requests for credit limit changes and replacement cards and reconciling transactions for staff.
- Process payroll, run payable time reports and other payroll-related reports.
- Performs other related duties as required.
- Building and maintaining relationships with community members and facility user groups.
The ideal candidate is highly organized and has the ability to anticipate the needs of others. They are a self-starter who can work independently, or with a team. They are also an effective communicator and uses good judgement when solving problems. A qualified applicant will have:
- Completed Grade 12, supplemented by completion of several business courses at a post-secondary level.
- A minimum of 3 years of progressively responsible and diversified clerical experience including supervisory experience.
- An accurate typing speed of 45 wpm.
- An equivalent combination of education and experience will be considered.
