What the role entails
The Planning & Development Services Department requires a Development Applications Coordinator within the Development Review Division. The duties and responsibilities of the Development Applications Coordinator position are performed under the direct supervision of the Manager of Development Review
The Development Applications Coordinator provides coordination and administrative support to municipal planners throughout the land development application and review process.
Responsibilities
The following responsibilities and duties of this position includes but is not limited to:
- Assisting planners in the administration of development application processing from initial request to pre-consult to the closing of the file.
- Developing application intake and coordinating document circulation to other departments, external agencies and developers.
- Maintaining electronic and hard copy filing systems and keeping the development tracking system updated.
- Preparing and distributing application tracking reports to the Director of Planning Services, each manager and planner on the status of current applications, and other application tracking tasks as required to support management reporting and accountability.
- Providing clerical support for Minor Variance Applications and meetings for the Committee of Adjustment.
- Working with IT and planning staff, maintaining, enhancing, customizing and testing modifications to the development application tracking system.
- Scheduling and coordinating development application meetings.
- Under the direction of senior staff, updating the procedures manual and creating any step-by-step procedures, guidelines, forms and templates, as required.
- Providing day-to-day support for users of the development application tracking system.
- Being an integral part of implementing continuous process improvements, in particular application tracking software improvements and transition to digital submissions, circulation and filing.
- Providing clerical support for the preparation of notices of public meetings and notice signs, newsletter and website application summaries, application status letters, and reports to the Planning and Development Committee.
- Providing back up to other clerical staff for continuous coverage in the event of absences.
- Processing temporary sign permits, apartment-in-house permits and information requests.
- Providing support in the implementation of the new “Amanda” software system.
- Other duties as may be assigned, including support for evening meetings.
The successful candidate will possess:
- The successful candidate will be a graduate of a two-year Community College Office Administration Program or possess equivalent qualifications in skills and work-related experience to the satisfaction of the Director of Planning Services.
- A minimum one-year experience in a similar position in a municipal environment.
- Demonstrated, clear understanding and working knowledge of development application planning process.
- Experience in report preparation and general data analysis for the development application process.
- Project management experience in a municipal planning environment.
- Demonstrated ability to work effectively in team situations or with minimal supervision and be able to meet tight deadlines.
- Must have excellent organization and communication skills, both verbal and written.
- Excellent computer skills and attention to detail.
- Experience with the use, customization and quality control on databases particularly development tracking systems (such as AMANDA).
- Demonstrated proficiency in Adobe Acrobat and the MS Office suite of software, particularly MS Word, Excel, Outlook, PowerPoint and SharePoint
- Exceptional customer service and interpersonal skills.
- Adept at learning new software and willingness to undertake training.
- Must be legally able to work in Canada.

Additional information and requirements
Pre-employment testing for this position may include written and oral testing, to assist in determining the successful applicant. A passing score will be considered to be 60% on each test with the highest score considered in the award.
Prior to starting the position, the successful candidate must provide, at their own expense, a current (within the last 180 days) satisfactory criminal reference check, from a Canadian Police Information Centre. Applicants who have been employed with the Municipality within the last year and have provided a criminal reference check within the last 365 days are exempt from providing another criminal reference check.
