Description
As an Election Clerk you will be responsible for the hands-on duties related to the administration of the General Election as determined by the Leaders, and the Deputy City Clerk. You will help with election related tasks that take place at every election or by-election. Primary duties include:

  • Respond to questions from Election Workers and the public. Direct calls as needed to internal staff.
  • Prepare notice to Election Workers, receive responses, data enter into election management system.
  • Accept Election Worker applications online. Administer hiring activities, determine placement of successful candidates for Election Workers according to previous experience, voting station requirements and the applicant’s place of residence.
  • Collate Election materials, including printing, photocopying, filing, sorting, and packing and distributing supplies.
  • Monitor, review and update database information, including initiating data quality corrections and follow up.
  • Enter voter data if calls received from public and from institutions.
  • Confirm facility information, availability, and schedule inspections.
  • Accept and enter mail-in ballot requests by telephone. Maintain mail-in (special) ballots.
  • Receive and prepare mail-in (special ballot) packages and provide in-person, telephone and email customer service for special ballot voters.
  • Prepare training session materials (handouts, manuals, forms) given to Election Workers and monitor attendance at training sessions and completion of online training.
  • Provide call centre support to the public and workers during the election based on prepared scripts.
  • Provide support, and assistance to Election Workers and ward office managers as required. 
Requirements
  • A completed High School diploma or equivalency (e.g. GED) and at least 1 year of election and/or census related experience.
  • Experience must include customer service and data entry
  • Intermediate proficiency with Microsoft Office (Word, Outlook, Excel).
  • Preference given to candidates with experience in a municipal environment.
  • Proficiency in more than 1 language will be considered an asset.
  • A valid Class 5 Driver’s Licence and the use of a personal vehicle for work will also be considered an asset.
  • You have demonstrated reading/comprehension skills along with basic mathematic skills, strong attention to detail and organization skills.
  • Exceptional communication and interpersonal skills and a proven customer focus.
Salary & Benefits

Pay Grade 3 $23.75 - $31.77 per hour
