Office of the Deputy City Manager (Community Services) for an experienced and motivated individual
EXECUTIVE ASSISTANT TO THE DEPUTY CITY MANAGER (12 Month Contract)

Responsible for providing professional administrative support to the Deputy City Manager (DCM) of Community Services, including complex administrative issues management, analytical and research duties, document and task management. Manages the DCM’s schedule, meetings/appointments, etc. Monitors the operating budget and performs financial tracking functions, verifies office expenditures and related budgetary records, reports and transactions. Manages Council and Committee agendas, compiles and prepares correspondence, documents, reports, etc. Establishes and maintains confidential records and filing systems. Liaises with other departments, Councillors offices and external agencies as required, responding to and/or redirecting inquiries/communications.
Qualifications and experience:

A two year Community College Diploma in Business or Public Administration or suitable equivalent;

Minimum of six years related experience preferably in a municipal environment and at least three years providing support to senior and/or executive level management;

Demonstrated organizational, issue management, report writing, problem solving, and analytical skills;

Strong time management and interpersonal skills;

Skilled in independently prioritizing, planning, coordinating, organizing, leading and monitoring multiple organizational projects of a complex nature simultaneously and quickly adapting to changes in time frames;

Skilled in researching and analyzing issues and offering creative solutions;

Superior communication skills, both oral and written including drafting correspondence, presentations, media items and reports;

Superior customer service skills including working collaboratively with staff members, agencies, external contacts and the public including senior Government officials;

Knowledge of and demonstrated ability in the City’s core competencies;

Advanced computer literacy utilizing MS Office software applications including proficiency in Word, Excel, PowerPoint, etc.;

Flexible to work outside regular business hours, as required.
