Duties and Responsibilities:

 

Finance and Tax

·      Enters current and postdated tax payments received at front counter and in mail.

·      Performs property owner mailing address changes.

·      Prepares monthly address change reports and email MPAC to update.

·      Assists the Tax Clerk with ownership changes and mailing out new owner packages.

·      Prepares new owner package inserts for Tax Clerk.

·      Prints and re-mails tax documents as required.

·      Prepares bank deposits for monies received.

·      Orders tax bills, newsletters, envelopes, and additional inserts for tax billings.

·      Assists with interim and final tax bill process.

·      Assists with tax arrears reminder notice process.

·      Maintains Finance and petty cash floats.

·      Enters and deposits transfer station tip fees and debit transactions.

·      Enters and maintains fuel data for municipal vehicals and equipment.

·      Ensures the confidentiality of all information in accordance with the Municipal Freedom of Information and Protection of Privacy Act.

·      Other duties as assigned or required.

 

Receptionist

·      Primary telephone reception for the office and responds to inquiries and redirection of calls if needed.

·      Primary reception of residents and visitors at the office and redirection as needed.

·      Primary email reception for general Trent Lakes email.

·      Answers inquiries and makes appropriate referral of questions if required.

·      Order, receive and disburse office supplies, such as paper, pens, coffee, mats, dishtowels, etc.

·      Coordinates office equipment maintenance for printers, mail machine and folder stuffer.

·      Picks up mail daily from mailbox, opens and directs mail, prepares outgoing mail, including courier deliveries.

·      Processes and investigates all returned mail.

·      Assists with resolving problems and complaints.

·      Prepares burn permits and dog tags at front counter.

·      Maintains and coordinates water sample program with the Peterborough Health Unit.

·      Other duties as assigned or required.

Requirements

Qualifications:

  • Minimum two (2) year post secondary diploma in a related field.
  • Minimum one (1) year experience performing similar duties as listed above.
  • Demonstrated experience in cash receipting, cash handling and balancing.
  • Knowledge of property taxes and inner workings.
  • Knowledge of Keystone and Filehold programs an asset.

  • Demonstrated time-management skills with the ability to prioritize workload and meet deadlines effectively with minimal supervision.
  • Ensures accuracy when handling monies.
  • Proficient with Microsoft Office and Adobe Pro.
  • Excellent analytical, interpersonal, and public relations, written and oral communications.
  • Ability to multi-task with frequent interruptions in a dynamic workplace.
  • Proven experience in dealing with the public in a customer service focused position.

Salary & Benefits

$51,098.04 to $60,111.83 annually
