Description

Reporting to the Manager, Support Services, City Clerk Services, duties include providing administrative and secretariat support to City Council and its Standing Committees by preparing and distributing meeting agendas and notices of meeting; attending meetings to record and transcribe minutes, preparing Committee reports for placement on Council Meeting agendas, preparing and distributing directives, preparing follow-up correspondence arising from Council and Committee meetings; maintaining an index of City Council and Standing Committee minutes; assigning report and by-law numbers and maintaining an electronic listing of both; maintaining the Outstanding Items Status Report for Council and Standing Committees; providing back-up to Advisory Committee Coordinator, Commissioner of Oaths and document signing authority in the absence of the Manager, Support Services; providing information on functions and services of Municipal Government (i.e. Grade 5 Local government class); researching and compiling statistical and general information; assisting in the administration of municipal elections.

Requirements

Applicants will have a post secondary Office Administration - Executive or Municipal Administration program (3 years) from a recognized community college, plus three years of relevant administrative experience preferably in a Municipal Clerk or Municipal Council’s Office. You have skills and experience using PC equipment and related software applications (e.g. Microsoft Office Suite, Adobe Acrobat), working knowledge of legislation and procedures that impact the municipal government level (e.g. Municipal Act, Accessibility for Ontarians with Disabilities Act, Municipal Freedom of Information Protection of Privacy Act, etc.), excellent administrative, minute taking and organizational skills, excellent customer service experience and highly developed communication skills to respond to inquiries by telephone, in person and in writing, and ability to work under pressure in order to meet deadlines.  You have completed, or are in the process of Municipal Administration Program (M.A.P.) from the Association of Municipal Managers, Clerks and Treasurers of Ontario (A.M.C.T.O.) and member of the A.M.C.T.O. and maintain membership with A.M.C.T.O.  Able to work evenings and overtime, as required

Salary & Benefits

Salary Range:  $63,866 to $75,135 per annum
